Guide
Handing off your first episode to a clipping service
Send one full export of the finished episode, as a file or a link that opens without a login, plus a short note with the guest's name spelled the way they spell it, any moment you want kept, and any topic or time range to leave out. Set your logo and caption style once before you send. Those four things decide whether the first batch comes back right.

The video: one full export, the version you would publish
Send the same export you would upload to your video platform, from the first word to the last. Do not trim it, do not send a rough cut with gaps, and do not send the raw camera cards or the project folder. The clips get cut from this file, so whatever is in it is what can end up in a Short, and whatever you left out cannot be recovered on the other side.
If you recorded a wide shot with both people in frame, send that one, so every speaker is in the picture. Framing follows whoever is talking and goes to a split screen when two people speak. If you send a link instead of a file, open it in a private browser window first and check that it plays without a password and does not expire.
- One continuous file, start to finish
- Wide shot with every speaker visible
- Finished color and sound, as you would publish it
- Link opens without a login and does not expire
- No project folders, camera cards or B-roll
Audio: fold it into the video before you send
The audio that gets used is the audio inside the video file. If your camera picked up the room mic and your clean sound sits on a separate recorder, sync the two in your editor and export once with the good track attached. A separate audio file has no place to go, so there is no way to attach it to the picture later.
Voice clean-up is applied to each clip, and dead air and filler words get trimmed. Do not count on that to rescue a track where the mic was off or a speaker is buried under the other one, so listen to a minute from the middle of your export before you upload it.
Names and terms: write them down, every episode
Captions are the words actually said, so a guest's name shows up in captions, hooks and titles, and the spelling comes from what you write in the note. Put the guest's name, their company and anything else specific to that episode in the note box when you upload. That note applies to that episode only; nothing from it carries over to the next one, so repeat the guest's name each time even if they have been on before.
Names and terms you say in every episode, your show title, your cohost, your product, the jargon of your field, belong in Settings > Spelling. Add them once and they are spelled right in captions, hooks and titles from the next episode onward.
- Guest's full name, spelled as they spell it
- Their company, book or project
- Place names and brand names said in the episode
- Recurring terms go in Settings > Spelling once
Timestamps: the moment to keep and the range to skip
Timestamps only help if they match the file you sent. Scrub your export, write the time as hours, minutes and seconds, and quote a few words from the moment so there is no doubt which bit you mean. 'Keep 00:41:10, where she tells the story about the first hire' is enough. A moment you flag this way is favored when the Shorts are ranked.
Do the same for anything to leave out: a topic, a name, or a time range. 'Leave out 00:12:00 to 00:15:30, we talk about a client who has not signed off yet' gets that stretch left out of every clip. Write both in the same note box, keep each to a line, and remember that the note covers this one episode. There is no standing rule you can set once, so if a topic is always off limits, write it in every time.
Brand assets: logo, caption style, end card
Upload your logo in Settings > Your logo before the first episode goes in, and pick a caption style from the ones offered. You cannot send a font file or a brand color sheet; the caption styles are the range you choose from. If your brand depends on an exact typeface, pick the closest style and keep the strongest branding on your thumbnails and channel art, where you control the look yourself.
The end card is on for new accounts and puts 'Subscribe' and your handle on the last seconds of each Short. Check that the handle on your account is the one you want on screen before the first batch, and switch the end card off in Settings > End card if your platforms differ and you would rather add your own. After delivery, 'Share with your guest' gives the guest a copy they can view and post.
- Logo uploaded once in settings
- Caption style chosen from the list
- Handle checked, end card on or off
- Thumbnails come from real frames, so look good on camera
What to leave out of the handoff
Keep the note short and specific to this episode. One line naming the guest and one line naming the moment you want do more for the batch than a paragraph about your audience, your tone and your content pillars. Skip the brand deck, the season outline, the list of past episodes and the folder of alternate takes.
Do not send several episodes zipped together or a file where two episodes run back to back. Each upload is one episode and gets one set of Shorts, teasers, titles and chapters, and a double file muddles all of them.
After the batch comes back: how to ask for changes
Watch the ranked Shorts with their reasons, then use 'Change this' on any clip you want altered. Plain words work: 'start two sentences earlier', 'drop the part after she laughs', 'spell the name Mara'. Keep each request to one clip and one change, so there is no doubt what you asked for. Starter has a few changes per episode and Pro has no limit, so on Starter spend them on the clips you plan to post.
Keep a running list of anything you corrected that will come up again. A misspelled recurring term goes in Settings > Spelling so it stays fixed; a recurring guest's name goes in the note next time they appear. You post everything yourself, so nothing you did not choose goes out while you work through the list.
Where Ship Your Pod fits
If the editing is the part that keeps you from posting, send the episode instead. 8 to 15 Shorts come back within a day (same day on Pro), captioned, scored and ranked best first, with teasers, thumbnails from real frames, and the title, description and chapters. You post them yourself, full quality, no watermark. Pro is $149 a month for 12 episodes, 15 Shorts each, plus the Facebook cuts, the newsletter and the article. Starter is $59 a month for 4 episodes. The price goes down every month you stay. Month to month, cancel any time. Pro has a 14-day free trial for your first episode.
Pro: up to 180 Shorts, 36 teasers, 60 thumbnails and 24 Facebook cuts a month (12 episodes, 15 Shorts from each). Starter: up to 32 Shorts, 8 teasers and 12 thumbnails a month (4 episodes, 8 Shorts from each).
Export the finished episode once with good audio inside it, write the guest's name and any moment to keep or skip in the note, check your logo and handle in settings, then send it.

Questions
Do I need to send a separate audio file to a clipping service?
Send one video export with your best audio already in it. A separate audio file has no place to go, so sync your clean track in your editor and export once with it attached.
Should I trim the episode before I send it for clips?
Send the full finished export. A note can leave out the cold open, the ad read or a tangent; a stretch you cut before sending can never become a clip.
How do I write timestamps for a clipping service?
Use hours, minutes and seconds from the exact file you are sending, and quote a few words from the moment. One line to keep a moment, one line to skip a range, both in the note for that episode.
Can I send my fonts and brand colors for the captions?
You pick a caption style from the ones offered and upload your logo once in settings; there is no place for a font file or a color sheet. Put exact typefaces on your thumbnails and channel art, which you make yourself.
